The booth price covers exhibit space only. Booth furnishings and services, such as carpet (required), tables, bar stools, floral arrangements, electric, Internet, labor, shipping and hotel accommodations, etc. must be made on an individual basis and the exhibitor’s expense.

Exhibitor Eligibility
AGA reserves the right to determine the eligibility of prospective exhibitors for inclusion at its exposition. Eligibility will be determined following receipt of an Exhibit Space Application and prior to booth assignment. Acceptance of this contract should in no way be construed as an endorsement by AGA of either an exhibiting company or its products or services.
Confirmations
Upon acceptance of your exhibit application and assignment of space, the principal contact named at the top of the form will receive a confirmation letter providing your booth assignment and other conference details.
Booth Assignment
Booth assignments are made on a first-come, first-served basis by the date the application is received. Every effort is made to accommodate your requested booth location, but we cannot guarantee that you will receive one of your preferred choices.
Payment and Cancellation
The exhibiting company agrees to pay the published exhibit fee once the application has been submitted and accepted by AGA. Invoices will be generated and sent to the principal contact via e-mail. Payment is requested within 30 days. Outstanding balances must be paid in full prior to signing up for future conference activities.
Cancellations must be made in writing and e-mailed to aphillips@agacgfm.org. All exhibitors canceling booth space on or before Dec. 1 will be charged a processing fee of $500. If notice of cancellation is given between Dec. 1, 2008 and January 5, 2009, exhibitors will be responsible for 50 percent of the total booth fee. Exhibitors canceling space after Jan. 5 will be responsible for the total fee of the exhibit space reserved.
Booth Personnel Registration
Each exhibitor receives three free booth passes for company representatives to work the booth (regardless of booth size). Register additional booth staff for $40/person. Booth passes only permit access to the Exhibit Hall during show hours and do not include the benefits of full conference attendee registration.
If any members of your team wish to register as an attendee (includes access to the Exhibit Hall, luncheons, education sessions and the ability to earn CPE credit), they may register by using the standard conference attendee registration form.
Information on how to register your exhibit staff/personnel will be included in your Exhibitor Service Kit, which will be e-mailed approximately eight weeks prior to the conference.

AGA has selected Shepard Exposition Services as the Official General Service Contractor for the National Leadership Conference. The General Service Contractor will provide all of the necessary services and equipment for the show and is responsible for drayage (moving of freight between the loading dock and the booths), decoration and labor.
Each confirmed exhibitor will receive an Exhibitor Service Kit containing all of the necessary forms for ordering carpet, furnishings, plants, decorations, lighting, electricity, phone lines, Internet connections, audio/visual equipment, etc. The kits also contain information on shipping deadlines and labor union regulations. Payment and arrangements for services provided to the exhibitor by the Official General Service Contractor is the responsibility of the exhibitor.
