The exhibits are only open for the first three days of the conference, to ensure high traffic through the Exhibit Hall and then to free up your exhibit staff to break down before the end of the conference. Breakfasts, Morning and Afternoon Breaks, the Welcome Reception and Social Hour will all take place in the Exhibit Hall.

Exhibit Space Fees

AGA Corporate Partner Member: $3,000

 

Non Corporate Partner Member: $4,000

 

Government Agency: $3,000


The prices above are for each 10' x 10' exhibit space. The fee covers exhibit space only. All hotel accommodations, booth furnishings, labor, audio/visual, shipping arrangements must be made on an individual basis.


Payment/Cancellation

Payment of booth fees is due in full with a signed order form. An invoice or receipt for payment will be included with the exhibitor confirmation letter.


Cancellations must be made in writing. All exhibitors canceling space on or before February 4, 2005 will be charged a processing fee of $500. If notice of cancellation is given between February 5 and June 10, 2005, exhibitors will be responsible for 50 percent of the total booth fee. Exhibitors canceling space after June 10 will be responsible for the total fee of the exhibit space reserved.


Confirmations

Upon acceptance of your Exhibit Application/Order Form and payment, the contact person named at the top of the form will receive a confirmation letter providing your booth assignment and other conference details. This official contact person is responsible for providing onsite representatives with time schedules and other pertinent information.


Booth Assignments

Booth assignments are made on a first-come, first-served basis. Every effort will be made to assign booth space according to the exhibitor?s preferred locations. However, even with these efforts it is not always possible to assign the requested area.

  • AGA reserves the right to reassign exhibit space and revise the floor plan without notice and at any time. AGA also reserves the right, in the interests of optimum traffic control, safety and exhibit exposure, to relocate those booths that may be affected by a change in the floor plan. Such change would not be made unless deemed absolutely necessary.

Exhibit Staff Registration

Each exhibiting company is entitled to four complimentary registrations regardless of booth size. These badges will give your company representatives access to the Exhibit Hall, but not to the conference sessions or luncheons. Additional exhibit personnel may register at a charge of $50/person. Exhibit staff may also register for the full conference (includes educational sessions, luncheons and the ability to earn CPE) by paying a fee of $775. Luncheon tickets may be purchased at $35 each. Information on how to register your exhibit staff/personnel will be included in your Exhibitor Service Kit, which will be mailed approximately 10 weeks prior to the conference.

GES Exposition Services will mail and Exhibitor Services Kit to each confirmed exhibitor. These kits contain all of the necessary forms for ordering carpet, booth furnishings, electricity, phone lines, Internet connections, etc. The Exhibitor Service Kits also contain information on shipping, union rules and other important details.


Please take time to read and become familiar with the information contained in this kit. We urge you to take advantage of cost reductions offered by most contractors for advance orders. Many services cost substantially more when ordered on site.
