Central South Dakota Chapter Executive Committee Minutes May 16, 2017 12:02 PM
President-elect Seth Hipple called the meeting to order. Members present: Sarah Burtt, Teresa Evans, Matthew Fickbohm, Heather Nachtigal, Jennifer Schrempp, and Amanda Werre. Members absent: Mary Ellen Garrett, Jessica Huber, Beth Leidholt, Tonya Johnson, and Keith Senger.
Review of Agenda and Additional Items – There are no additions or changes to the Agenda. Matthew Fickbohm motioned to approved, Jennifer Schrempp seconded the motion. Motion carried.
Approve Minutes - Matthew Fickbohm motioned to approve, Amanda Werre seconded the motion, and all members present approved the minutes of the April 18, 2017 meeting as presented. Motion carried.
Treasurer’s Report – Amanda Werre asked if the CEC could clarify the acceptable timeframe of semester expenses that qualify for the scholarship, that is if the scholarship may be use for expenses incurred before or after the scholarship award. Sarah Burtt moved that expenses from the previous or upcoming semester be acceptable for scholarship reimbursement, Jennifer Schrempp seconded the motion, and all members present approved, motion carried. The Chapter received $696.67 in Chapter dues and $5,340.00 in PDC registration fees. The Chapter received $230.00 from PDC Fundraiser; a check will be issued to Feeding SD. A request has been submitted to the National office to match the $230 as part of the National Community Service Fund Match program. The Chapter had two expenses during April: PDC Expense $9,638.70 and miscellaneous expense $9.80, along with uncleared check #2136 in amount of $82.01 leaving an account balance of $36,668.06. The President-elect declared the Treasurer’s Report to be filed as presented. One of the PDC scholarship recipients sent a Thank You card and was shown to members present. Amanda Werre has filed the 990 IRS Form for this year. Next year will do online as IRS will not mail out postcard next year. An online account is setup and the login information is with the treasurer.
Accountability – Nothing to report.
Bylaws and Procedures Update – No report received.
Certification – Nothing to report.
Communications – By the end of this month, the Chapter Newsletter will be issued. Please get any photos to Jennifer relating to PDC, Feeding SD PDC donation check, and Scholarship Winners as soon as possible. Jennifer is getting feedback from attendees of PDC to be included in newsletter.
Community Service – Seth Hipple informed members present that twelve people are signed up to attend the Budget Class that starts Tuesday May 16, 2017 to be held at First Baptist Church.
Education – Per Agenda for the June 14 Luncheon speaker will be about Bicentennial of Fort Pierre, waiting for a callback from Speaker.
Membership – Matthew Fickbohm emailed the twelve non-renewed members, of those whom responded: four members retired, two members emails are invalid, two not renewing, one will be renewing, one pending response, and two have recently renewed AGA membership. There are six new members in March, four new members in April, and three new members in May.
Programs and Technical – Nothing to report.
Chapter Calendar – reviewed calendar, nothing added.
PDT July 9-12 Boston –Members present at meeting are not available to attend. Matthew Fickbohm moved that in lieu of a donation of goods for the AGA’s Community Auction that the SD Chapter will send a $250.00 contribution for the fund, Sarah Burtt seconded the motion. All present voted affirmative. The motion carried.
CEC Officers and Directors 2017-2018: Matthew Fickbohm will send out email today and inquire if members are interested in joining the Board.
